A scanned SOP, a signed-and-rescanned form or a supplier certificate held as an image PDF is, without OCR, just a picture: full-text search cannot find it. Docuply, according to the vendor, recognises the text of uploaded documents, including JPG image files, and uses that text for a cross-document search. This is more than convenience. AI is only as good as the searchable data it can reach. An eQMS full of non-machine-readable scans cannot deliver reliable AI features, however capable the model. Only OCR creates the complete, searchable text base on which cross-document search, automatic eTMF linking, SOP training questions, change history and CAPA suggestions can build. This guide explains what OCR does today, why the search stays inspection-ready, and where the realistic limits lie.

Why are so many GxP documents not searchable?

The reason lies in how quality systems grow over time. A large share of all corporate data is unstructured: Gartner and IDC estimate that 80 to 90 per cent of enterprise data sits in unstructured formats such as text, PDF, image and scan. Regulated archives add a twist: wet-ink signatures. Papers are signed, rescanned and filed as image PDFs. The AIIM/Deep Analysis study Market Momentum Index: Intelligent Document Processing (IDP) Survey 2025 (published 13 August 2025, covering 600 enterprises across the United States, Germany, Austria and Switzerland) reports that 61 per cent of document processes still involve paper, with 48 per cent expecting paper volumes to rise the following year. A scan without OCR is a photograph: legible to the eye, invisible to search.

The time loss is measurable. According to the McKinsey Global Institute (report The social economy: Unlocking value and productivity through social technologies, July 2012), employees spend around 1.8 hours a day, roughly 9.3 hours a week, searching for and gathering information, close to a fifth of the working week. IDC puts the figure at about 2.5 hours a day, roughly 30 per cent of the workday. Documents that cannot be found cost more: PricewaterhouseCoopers cites around 20 US dollars of labour to file a document, around 120 US dollars to locate a misfiled one and around 220 US dollars to recreate a lost one; roughly 7.5 per cent of documents are lost outright and a further 3 per cent are misfiled.

Day to day, this shows up as clear pain points. SOP retrieval: a colleague needs the effective version of a work instruction and finds only an old scan in a SharePoint folder. Inspection readiness: the inspector asks for a specific record, the clock is running, and the document sits as an image PDF in a historical study folder. Due diligence: a buyer wants evidence, but the legacy holdings are not searchable. Vendor records: a quality agreement or a certificate exists, but nobody can find it among thousands of files. Availability is not a side issue in regulation: ICH E6(R3), adopted as a Step 4 document by the Regulatory Members of the ICH Assembly on 6 January 2025, requires storage systems to allow identification, version history, and search and retrieval of trial records.

How does OCR work in document management?

OCR analyses an image, recognises letters, digits and layout, and produces machine-readable text. Classic OCR matched patterns against fixed character sets and was strong on clean print, weak on everything else. Modern, AI-assisted approaches use neural networks and transformer models that consider the context of a whole line rather than guessing isolated characters. That markedly improves robustness on average scan quality, multi-column pages and mixed layouts.

Accuracy depends heavily on the material. On clean, printed text OCR systems routinely exceed 99 per cent character accuracy. On handwriting the figure drops: for handwriting recognition (ICR/HTR) real-world accuracy is typically quoted at 80 to 95 per cent, higher for clearly hand-printed block letters in fields, considerably lower for joined-up cursive and inconsistent hands. Tables, stamps and signature areas are challenges of their own: modern systems reconstruct table structures increasingly well, but stamps and handwritten margin notes remain error-prone. Multilingual documents are standard today, provided the languages are detected.

Realistically: poor scan quality, skewed or faded originals, carbon copies and faxes all depress the recognition rate. For the purpose of findability this matters less than for exact data extraction. If you want to relocate a document via a few keywords, an imperfect text layer still gets you there, as long as the key terms were recognised. Docuply describes its text recognition explicitly as the basis for a better search across several documents, not as a replacement for the original document.

Is OCR search 21 CFR Part 11 compliant?

Yes, provided you keep the decisive point clean: the OCR text layer is a rendition, a search aid created alongside the original document. It does not change the original. The scanned, signed PDF remains the record; the electronic signatures under 21 CFR Part 11 stay untouched, because OCR only places searchable text beside the file and manipulates nothing in the signed record. Part 11 §11.70 requires signatures to be linked to their records so they cannot be excised or transferred; plain text indexing does not affect that link.

Audit trail and version status also remain unaffected. The audit trail still documents who did what to the record and when; OCR indexing is a system action beside the record, not an intervention in it. The data-integrity principles under ALCOA+ (Attributable, Legible, Contemporaneous, Original, Accurate plus Complete, Consistent, Enduring, Available) continue to apply unchanged. The MHRA GXP Data Integrity Guidance and EU GMP Annex 11 stress exactly these principles, as do the WHO data-integrity guidelines. Note: the MHRA warns against converting dynamic data into static formats and treating the static version as the primary record. For OCR in the eDMS/eQMS the rule QA must watch is therefore clear: the original stays the record, the text layer is purely a search aid. That keeps OCR-assisted search inspection-ready, because it speeds access without touching record integrity. More on the compliance basis is on the Part 11 page and on document management on the eDMS page.

OCR as the data foundation: no readable documents, no AI

Here is the thread. AI is only as good as the searchable data it can reach. Every AI function in the quality system draws on text content. If documents exist only as images, they are invisible to the AI, no matter how capable the model. OCR is what creates the complete, searchable text base. From it follows the chain: OCR produces text, text enables cross-document search across eDMS, eQMS and eTMF content, and on that search the further, so-called Tier-2 AI features build.

Docuply documents a set of such features as available today: automatic generation of training questions from SOPs, automatic mapping (linking) of released document versions into the eTMF under the CDISC TMF Reference Model, at over 90 per cent accuracy per the vendor (the user merely confirms the suggestion), automatic filing of document versions, automatic change history, and AI CAPA suggestions within Quality Events. All these features are, per the vendor, included in the price with no token or consumption charges. The automatic mapping is available as a separately bookable Automated Filing module. An eQMS software comparison places such features within a three-tier model.

What is an MCP connector in the eQMS?

The Model Context Protocol (MCP) is an open standard that Anthropic released as an open-source standard on 25 November 2024, through which AI assistants can access external systems and their data in a controlled way. Instead of building a bespoke integration for every system, an AI assistant addresses a standardised interface via an MCP connector. For an eQMS that would mean an assistant could search documents or retrieve status on request, within the permissions granted. The data-foundation idea applies here too: a connector is only as useful as the data it can reach. An MCP connector onto an eQMS full of unreadable scans delivers little; only the OCR text base makes it valuable.

On status: Docuply publicly documents OCR, cross-document search and the Tier-2 AI features named above. It does not currently list an MCP connector as an available feature on its website; the integration item the vendor names for the future is a REST API interface. Roadmap topics are not treated here as present. Anyone accessing GxP data through an MCP connector needs governance without exception: a permissions concept with role rights, traceability and an audit trail of access, and clear human accountability. No automated release without a human: the assistant suggests, the human decides and takes responsibility.

What OCR search unlocks in daily work

Finding one document among thousands. Before: clicking manually through folders because the file name says nothing. After: full-text search over the OCR text finds the hit in seconds, even inside a scanned image PDF.

SOP retrieval in daily operations. Before: uncertainty whether the version found is the effective one. After: the search leads to the correct version; the original stays the record with unchanged version status and audit trail.

Inspection preparation and requests during the inspection. Before: the inspector asks, the clock runs, and the document is an image scan. After: a single keyword suffices, the record appears at once, and the signed original is presented unchanged.

Migrating legacy holdings from SharePoint and paper. Before: folders grown over years with scanned legacy documents, effectively not searchable. After: on upload OCR creates the text layer, the holdings become searchable, and originals are not altered.

Keeping supplier documents findable. Before: certificates and quality agreements scattered as image PDFs. After: all vendor records are findable by content, which speeds vendor qualification and audits.

FAQ

Can I search scanned documents in the eQMS?

Yes. Docuply, per the vendor, recognises the text of uploaded documents, including JPG image files, and makes them findable through the cross-document search. The prerequisite is sufficient scan quality so the key terms are recognised.

Does OCR change the original document?

No. The OCR text layer is a rendition, an additional search aid. The signed original remains the record; version status and audit trail stay untouched.

What is the difference between OCR and full-text search?

OCR converts image into text. Full-text search searches text. Without OCR a scanned document has no text for full-text search to read. OCR is the prerequisite, full-text search the application.

Is OCR-assisted search 21 CFR Part 11 compliant?

The search itself changes no records. Because the text layer does not touch the original or its Part 11 signatures, the solution stays inspection-ready. Overall system compliance rests on validation, access control and audit trail.

Does OCR read handwriting too?

Partly. Handwriting recognition (ICR/HTR) typically reaches 80 to 95 per cent in the real world and falls for joined-up cursive. For wet-ink signatures and margin notes that is a realistic limit worth knowing.

Can an AI access my eQMS?

Technically an open standard like MCP lets AI assistants access systems in a controlled way. Docuply today documents OCR, cross-document search and Tier-2 AI features; an MCP connector is not currently listed as an available feature. Any access needs a permissions concept, traceability and human accountability.

Why is OCR the foundation of every AI feature?

Because AI can only draw on text. AI is only as good as the searchable data base. An eQMS full of image scans yields no reliable AI results; OCR is what creates the text base.

Do I have to prepare legacy holdings before upload?

Usually not. OCR runs on upload and creates the text layer.
